vcita launches AI-powered scheduling tool to help SMBs reduce calendar gaps

vcita has introduced an AI-driven scheduling tool designed to help small and medium-sized businesses (SMBs) optimize their calendars, reduce last-minute cancellations, and fill open booking slots. The tool, powered by Apptor, analyzes scheduling patterns and client behavior to recommend relevant customers for available appointments, allowing businesses to maximize revenue potential.

A vcita survey found that U.S. small businesses lost over $27 billion in unearned income in the first half of 2023 due to appointment cancellations and scheduling gaps. Many SMBs already face cash flow challenges, making missed bookings a significant financial burden. The AI scheduling tool is designed to address this issue by proactively reaching out to clients when cancellations occur, helping businesses recapture lost revenue.

How the AI scheduling tool works

When a client cancels an appointment, the system identifies and suggests other clients based on their past scheduling behavior, appointment history, and service availability. Businesses can either manually review and approve the suggested replacements or enable automated outreach, allowing the system to send customized messages to relevant clients. This automation helps SMBs reduce downtime, improve efficiency, and maintain control over AI-driven scheduling adjustments.

During the tool’s early access phase, 50% of users enabled automation, allowing the AI to contact suggested clients without manual intervention. This reflects a growing trust in AI as a business support tool.

The scheduling tool is powered by Apptor, a startup specializing in AI-driven scheduling and e-commerce solutions. We’re excited to see our technology enhance vcita’s offering.”

This launch is part of vcita’s broader AI initiative, which includes BizAI, an AI-powered SMB business advisor, and AI Reply, an automated response system. The company also plans to make its AI technology available to its partners, enabling organizations that serve SMBs to integrate AI-driven scheduling and customer engagement solutions into their platforms.
